Rate negotiation guidelines:
AAA/AARP - 10% off of BAR, must provide AAA or AARP card upon arrival. Not valid on weekends.
Advance Purchase – 10% off of BAR, must take payment at the time of booking. Reservation cannot be cancelled and can only be booked prior to 21 days before arrival.
Host discretion: - up to 10% off of BAR. Hosts may use their discretion when booking a room, and may offer up to 10% off if this seems necessary to book a sale. This can be stated as 10% off, or can be stated as a dollar amount, ie:… if the room is $200, a host may offer $20 off, per night. This 10% applies to the specific type of room booked. For example, if a discount on a QU is given, the guest must be booked in a QU, ect… The guest cannot be given a discount on a QU, and then blocked in a BQ. Though upgrades may not be promised at the time of booking, they can be given on arrival, if there is availability.
Long term stays- If a potential guest is interested in staying for more than 5 days and has asked for a special rate to be considered, up to 10% off of BAR may be applied at the hosts discretion, given the guidelines above. If the potential guest is not willing to book at this rate, please refer the guest to Morgan or Justin, so that a negotiated rate, given current RevPar trends, may be applied.
Repeat guests who previously had lower rates and would like the same rate that they had in the past - For repeat guests who are upset because their rate is higher than the last time they stayed, please explain to the guest that “rates fluctuate depending on demand, season, and day of week,” and offer up to 10% off if necessary, using the guidelines above. If the guest is upset still, and believes their rate should be lower, or you think they will not book unless they get a lower rate, please ask for their contact info and forward it to Morgan or Justin.
Upgrades - Upgrades may be give at the time of reservation, in lieu of a 10% discount, if necessary to book a sale. For example, if a guest would like a QU which is selling for $199, but feels that is steep, they could be offered a Cottage, which is $20 more expensive, and pay the QU price. This, in essence, would be a 10% discount.
Walk-Ins –
Discounts may be given to walk-in reservations, with the following guidelines:
Weekend:
When there are 2 rooms or less, a $20 discount may be given, as well as an upgrade.
When there are 3, 4, or 5 rooms available, up to $30 may be taken off of the BAR rate, to entice a guest to stay, and an upgrade may be given, as well.
When there are more than 5 rooms available, up to $40 may be taken off of BAR rate to entice a guest to stay, as well as an upgrade.
Weekday:
When there are 5 rooms or less available, up to $15 may be taken off of the BAR rate, to entice a guest to stay, and an upgrade may be given, as well.
When there are more than 5 rooms available, up to $25 may be taken off of BAR rate to entice a guest to stay, as well as an upgrade.
*** If a guest walks-in and would like to reserve for multiple days, or wishes to extend their stay, the following day, walk-in rates do not apply. The guest will need to be informed of the BAR rate for successive days, for which the FD Host discretionary guidelines apply.
BOOKING BONUS
As prices are set according to market trends, and the true goal is to fetch the BAR rate that is being asked, hosts will be rewarded for the number of rooms booked at BAR rate. Each month, a $50 bonus will be given to the host that books the most rooms at BAR rate, per given shift. To account for this, each host will print the folio of each reservation they book at BAR rate, and put it in their Front Desk file. These will be turned into Morgan at the end of the month to be calculated for a bonus.
